Team and roles
Invite people to your organization, change their role and sites and understand what each role allows.
The Team settings tab lists the people who have access to your organization and the pending invitations. It is reserved for the owner and administrators.
View the team
Click Settings at the bottom of the side menu, then the Team tab. The table shows for each member:
- Member: their name and email address;
- Role: their role or roles; “main user” marks the owner;
- Assignment: Organization-wide (all sites) or the list of sites assigned to them;
- Status: Active or Inactive.
An Inactive member has been suspended because your current plan no longer includes them (after moving to a lower plan). They will get their access back if the organization takes a sufficient plan again. On their side, they see the message “Your access is suspended” when opening the organization; its screens keep showing their programs.
Invite someone
- In the Team tab, find the Invite someone block.
- Enter their Email address.
- Choose their Role (see “Roles” further down).
- If your plan includes several sites and the role allows it, choose the Assignment:
- Organization-wide: all sites, including ones created later;
- Targeted: only the checked sites. Check at least one active site.
- Click Send invitation.
The person receives an email, in your language, inviting them to join the organization and stating their role. The invitation appears in the Pending invitations block.
Assignment
The Owner, Administrator and Billing manager roles always apply to the whole organization. With a single-site plan, access is always organization-wide.
Accept an invitation
The invited person clicks the link received by email:
- If they are not signed in, they sign in with the address that received the invitation. If they don’t have a Pixlova account yet, it is created when they sign in.
- On the Join an organization page, they click Accept invitation.
They then land in the organization. The invitation only adds the role and scope it states. An invitation accepted with another address, expired or revoked is refused.
Manage pending invitations
The Pending invitations block shows the address, role and expiry date (or Expired) of each invitation.
- Resend sends a new email and pushes back the expiry date.
- Revoke cancels the invitation after confirmation: the link no longer works.
Only one invitation can be pending per address: if an invitation already exists, resend it instead of creating another one. A person who is already a member cannot be invited again.
Number of users
Your plan sets a maximum number of users (only one on the free plan). Active members and pending, non-expired invitations count towards this total, shown at the top of the Team tab (for example “3 / 5 user(s)”). Once the limit is reached, the app refuses new invitations. Revoke an unneeded invitation, remove a member or upgrade your plan (see Plans and billing).
Edit a member’s access
You can change an existing member’s role and, with a multi-site plan, their sites:
- On the member’s row, click Edit access.
- Choose their Role. The list only offers the roles you are allowed to grant.
- If you are an owner, check Also billing manager if needed, to let them view and change the subscription on top of their role.
- With a multi-site plan and a role that allows it, choose Organization-wide or Targeted, and check the sites you want.
- Click Save.
The change applies immediately. The button does not appear for yourself, for an inactive member, or for a member whose role goes beyond your own rights (for example an owner, for an administrator).
Hand over the organization
To hand over the organization, give the Owner role to the person taking it over. They can then edit your access or remove you. The organization always keeps at least one active owner.
Remove a member
- On the member’s row, click Remove.
- Confirm. Their access is revoked immediately.
You cannot remove yourself from this table: to leave, use Leave in Your account. The organization must always keep at least one active owner.
Security rules
- Two-factor authentication: to invite, edit a member’s access, remove a member or manage invitations, an owner or administrator must have enabled two-factor authentication on their account. Otherwise the app asks you to enable it first (see Your account).
- Owner role: only an owner can grant or remove the Owner role, and they must have signed in recently. Otherwise the app asks you to confirm your identity: sign in again, then try again.
- No more than your own rights: you can only grant a role if you yourself hold all of its permissions on the sites concerned. An administrator therefore cannot grant the Owner or Billing manager roles, nor remove an owner.
Roles
Each member has a role. The Content manager, Operator, Technician and Viewer roles can be limited to some sites; the others apply to the whole organization.
| Role | In short |
|---|---|
| Owner | The main user. Can do everything, including changing the subscription. |
| Administrator | Manages the whole organization (settings, team, sites, content, screens), can view the subscription but not change it. |
| Content manager | Creates content, schedules it and publishes it. |
| Operator | Starts an instant broadcast and views screenshots. |
| Technician | Installs and maintains players: pairing, configuration, remote commands. |
| Viewer | Can view, without changing anything. |
| Billing manager | Views and changes the subscription. |

Roles limited to some sites
When a member is assigned to some sites only:
- they only see the screens, players and sites assigned to them; the site list in the header offers All my sites;
- their permissions on screens and players only apply to those sites;
- since content (images, videos, creations, templates) is shared across the whole organization, a content manager assigned to a single site also manages the content of the whole organization.
